Gather & Roam Social Media & Photography Policy

1. Purpose

Gather & Roam uses photography, video and social media to celebrate our community, promote future events and share the benefits of spending time outdoors.

We are committed to respecting the privacy of all participants, particularly children and vulnerable individuals, and ensuring images are used responsibly.

2. Consent

Photographs and videos may be taken during Gather & Roam activities.

We will:

  • Seek consent before using identifiable photographs or videos for promotional purposes.

  • Respect anyone who chooses not to be photographed or filmed.

  • Clearly communicate when photography may be taking place.

Parents or guardians are responsible for providing consent on behalf of children under 18.

3. Children

Children will never be photographed or filmed without the knowledge of their parent or guardian.

Where photographs include children:

  • Images will focus on the activity rather than the individual wherever possible.

  • Full names will never be published alongside photographs.

  • Personal information that could identify or locate a child will never be shared.

4. Participant Photography

Participants are welcome to take photographs during activities for personal use.

We ask that everyone:

  • Respects the privacy of others.

  • Asks permission before taking close-up photographs of another participant.

  • Does not publish identifiable images of children without the permission of their parent or guardian.

  • Avoids sharing photographs that may cause embarrassment or distress to others.

5. Social Media

Gather & Roam may share photographs, videos and stories on its website and social media platforms.

Content shared will:

  • Promote a positive and inclusive outdoor community.

  • Never include offensive, discriminatory or inappropriate material.

  • Avoid sharing sensitive personal information.

  • Respect the wishes of participants who have requested not to appear online.

6. Safeguarding

If any photograph or online content raises a safeguarding concern, it will be removed as soon as reasonably practicable and the matter will be managed in accordance with Gather & Roam's Safeguarding Policy.

7. Contact

If you would like an image of yourself or your child removed from Gather & Roam's social media or website, please contact us and we will remove it as soon as reasonably practicable.
